Privacy Policy
What SetMates collects, why, what other people can see, who helps us run the service, how long data is kept, and the choices you have. SetMates does not sell personal data and does not use advertising or analytics trackers.
What we collect
When you create an account: your email address and a password. The password is stored only as a secure hash by our authentication provider; we cannot read it.
When you set up your profile: your display name and handle, the roles you work in, your date of birth, and optionally a bio, city, region and country, links, languages, experience and role details such as measurements for models.
As you use SetMates: portfolio images and their details, services you offer, your working hours and time off, opportunities, applications and invitations, collaboration terms, bookings and orders, messages in those conversations, reviews, reports and blocks you make, items you save, and your notification settings.
If someone books you without an account: the name, email address and optional social handle they give, so you can respond to the request.
Counts of activity: SetMates may count a few actions each day, such as searches, page views and sign-up attempts, as daily totals. A count is not linked to you, your account or your device, and no cookie or outside service is used to make it.
Technical data: the sign-in cookies described below, and the IP address and request details that our hosting and authentication providers process to deliver the service, keep it secure and limit abuse.
What other people can see
SetMates is a platform for being found, so parts of your profile are public — visible to anyone, including people without an account and search engines — while your profile is visible:
- your display name, handle, roles, bio, city, region and country, links and languages;
- your portfolio, your services, and your rate if you choose to show it;
- reviews of you, once they are revealed.
Your location is never shown exactly. Where a location is used for discovery, the public point is moved to a grid of about 1.5 km and offset, so your address cannot be worked out from it. If you use a “near me” search, your device’s position is coarsened in your browser before it is used, and is not saved to your profile.
Never public: your email address, your date of birth, your messages, your bookings and orders, your reports and blocks, and your saved items. Messages and bookings are visible only to the members involved, and to SetMates moderators when they review a report.
You can hide your profile from discovery, hide your rate, turn off your storefront’s services, or deactivate your account from your settings.
How we use it
- to run SetMates: showing profiles, matching searches, working out available booking times, and delivering messages and notifications;
- to send the email your account needs, such as confirming your address and resetting your password;
- to keep members safe: checking age, handling reports, moderating content, enforcing blocks, and limiting spam and abuse;
- to secure the service and fix problems;
- to meet legal obligations.
We do not sell personal data, use it for advertising, or share it with data brokers.
Who helps us run SetMates
These providers process data on our behalf, only to provide their part of the service:
- Supabase — database, authentication and file storage, hosted in the United States (US East).
- Amazon Web Services (Amazon SES) — sending account email from no-reply@auth.setmates.com.
- Our hosting provider — running the SetMates website and application servers.
We may also disclose information when the law requires it, or where it is necessary to protect someone’s safety.
How long we keep it
We keep your data while your account exists. If you ask for your account to be deleted, it is deleted after a 14-day grace period, during which you can cancel. At that point:
- your email, date of birth, portfolio, saved items, notifications and blocks are deleted, and unpublished opportunities are removed;
- your profile is anonymised to “Former member”, with its name, bio, images, location and links removed;
- records other members rely on — collaborations, bookings and orders you took part in, reviews, and messages in those conversations — are kept, attached to the anonymised profile, so the other people involved keep an accurate history;
- moderation records are kept, because they cannot be altered or deleted by anyone;
- backups held by our providers expire on their own schedule.
Your choices and rights
- Access and download: request a copy of your data from your settings (up to twice a week).
- Correct: edit your profile and content at any time.
- Delete: request deletion from your settings, as described above.
- Limit: hide your profile, deactivate your account, block people, and choose which notifications you receive.
Depending on where you live, you may have further rights, such as objecting to certain uses or complaining to a data protection authority. To use any of them, reply to the person at SetMates who sent your invitation.
Security
Data is sent over encrypted connections. Access to each piece of data is enforced in the database itself, so a member can only read what they are allowed to, and our staff access is limited to what their role needs. No system is perfectly secure; if we learn of a breach that affects you, we will tell you.
Age
SetMates is only for people aged 18 and over. We do not knowingly collect data from anyone younger, and remove accounts that belong to someone under 18.
Where data is processed
SetMates is preparing to open in the United States and Thailand. Your data is stored in the United States, and may be processed in other countries where our providers operate.
Changes and contact
We will update this policy when what we collect or how we use it changes, and tell members about material changes before they take effect. For any privacy question, reply to the person at SetMates who sent your invitation.
